Billing exception analysis

Navigate to: Care services > Inquiries and reports > Billing exception analysis

The Billing exception analysis helps you check regular billing by comparing the current period’s billing with the prior period’s billing and listing the differences (exceptions). It is used to catch billing that has changed, is missing, or has been added between periods before invoices and statements go out.

When you open it, a parameters pop-up appears. After you select the parameters and choose OK, a view with four tabs opens.

Tab 1 – Billing exceptions

Lists only the exceptions. Current-period and prior-period transactions are matched on Customer account + Client account + Billing code. A transaction is listed as an exception when:

  • there is no matching transaction in the other period (in current but not prior, or the reverse);
  • the start date or end date on a current-period transaction does not match the parameter dates;
  • the start date or end date on a prior-period transaction does not match the parameter dates;
  • the rate differs between the two periods;
  • the service code differs between the two periods.

Standard fields are shown for the current period and the prior period side by side: Voucher number, Customer account, Client account, Service code, Billing code, Start date, End date, Qty/Days, Rate and Debit/Credit. Other transaction fields can be added by the user.

Tab 2 – Current period billing

Shows the current period’s billing. The source is customer transactions and unposted billing journals. A transaction is included where its start date or end date falls within the current period dates (inclusive).

Standard fields: Transaction date, Voucher number, Customer account, Client account, Service code, Billing code, Description, Start date, End date, Qty/Days, Rate, Debit/Credit, GST group and Offset dimensions.

Tab 3 – Prior period billing

Shows the prior period’s billing. The source is posted customer transactions. A transaction is included where its start date or end date falls within the prior period dates (inclusive). Same standard fields as the Current period billing tab.

Tab 4 – Address exceptions

Lists customer accounts where the customer address, or the email address with the purpose set in the Smart Send setup, has a modified date within the range from the start of the prior period to the end of the current period. Smart Send setup: System administration > Setup > Email > Email parameters > Smart Send.

Filtering date type

  • Invoice date – the current and prior period tabs are filtered by the transaction (invoice) date, inclusive of the parameter dates.
  • Service provision dates – the tabs are filtered by the service start/end dates, as in the original design.
